You know what they say, “Just wait five minutes and the weather will change again.” Unfortunately, sometimes this is the case which makes it extremely difficult to plan accordingly for outdoor events that may be impacted with the predicted forecast. It is frustrating for everyone involved, and we take as many precautions as possible to ensure we are prepared prior to the event.
The 24–48 hour window:
It happens on a regular basis that a panicked event contact will reach out to us on Monday regarding their event on Saturday because it looks like there is rain in the forecast. Take a breath and give it a bit! We do not even look at the forecast for a Saturday event until at least Thursday because it will have changed 100 times before then. Quite often the entire day’s forecast shifts and there is no cause for concern. We are also monitoring the forecast and will always reach out to you if we feel adjustments need to be made.
When to reschedule or move indoors:
We do not consider weather an issue unless the percentage of rain is showing over 60% during your event. With that being said, it is always a good idea to have a backup indoor event location in mind just in case! Unless it is a water piece, our inflatables cannot get wet. It is a safety concern and not good for the longevity of the vinyl material. We will work with you to switch out inflatables if need be, to accommodate an indoor alternative. A helpful thing to know is how much power you will have available to use if you do have to move indoors, and the dimension of the indoor space. Communication is key, and we always work with you to get a rescheduled date on the calendar in the event you don’t have an indoor option. A wind speed information sheet is also included with every inflatable contract the details the wind tolerance for inflatables, should wind be a factor instead of or in addition to rain.
Entertainers are always a go!
Our entertainers are independent contractors and often book 6+ months in advance. If there is an event rescheduled for the inflatables, our entertainers would still need to be compensated for holding the date and time for you. The good news is they are much easier to move indoors, if need be! We provide entertainer instructions at the time of booking to make sure our customers are aware of this policy.
We say it all the time, but we want your event to be a success. A lot goes into planning your event, so we want to make your event happens for your sake and ours! The weather is a never-ending, often frustrating challenge that we always seem to face on our busiest weekends yet always seem to pull it off one way or another! If you take one thing away from reading this, don’t let 20% of rain scare you! The reward of having a fabulous carnival, corporate picnic, city event, etc. will always be greater than the risks.
